We are looking for an organized, dependable Administrative Assistant to work directly alongside our Project Manager and Chief Operating Officer. This is a fast-paced position that supports our production department by coordinating installation schedules, communicating with customers, and helping keep our operations running smoothly.This is not a front desk or receptionist position. Instead, you'll become an essential part of our operations team, ensuring our production crews stay scheduled efficiently while providing outstanding customer service.
What You'll Do
- Coordinate installation schedules with customers.
- Schedule and adjust production crew schedules.
- Answer incoming scheduling-related phone calls.
- Communicate with customers by phone, text message, and email regarding appointments and scheduling updates.
- Monitor and respond to scheduling-related text messages.
- Maintain accurate customer notes and document all customer interactions.
- Verify that production paperwork is complete and accurate before processing.
- Maintain Google Sheets, Google Docs, and other production records.
- Assist with the company's transition from paper documentation to digital records.
- Work closely with the Project Manager and Chief Operating Officer to support daily operations.
- Suggest workflow improvements and process enhancements when appropriate.
- Occasionally run local errands using a company vehicle when needed.
- Perform other administrative duties as assigned.

Preferred Qualifications
- Previous administrative or office support experience.
- Scheduling or dispatching experience.
- Construction or field service industry experience is a plus.
- Bilingual (English/Spanish) is a plus but not required.
Schedule
- Monday through Friday.
- Training schedule is typically 8:00 AM–4:00 PM.
- After training, the schedule may transition to 7:00 AM–3:00 PM or 7:00 AM–4:00 PM to better support production crews.
